Portrait of Alli Kaser

Nearly ten years leading high-profile events, teams, budgets and vendor relationships for organizations including the NBA, Formula 1, NASCAR and municipal government. I run the stage, the content, the design of the space, and the vendors and volunteers behind it, so every cue lands on time.

  • Stage managementCalled the Toyota Aqua Zone stage across all nine days, coordinating schedules, performers, crew and changeovers.
  • Stage contentManaged the overall content plan and programming for the stage and screens, working with Dodd Technologies, who ran the physical content from the AV side.
  • Vendor managementOnboarded, placed and supported the vendors operating throughout the Toyota Aqua Zone.

Production schedule

An example of a production schedule I made for the 2024 USA Swimming Olympic Trials Aqua Zone, from the pre-event deadlines and overnight load-in through every show day to load-out. Some details omitted for privacy.

My preferred format for production schedules is a color-coded Google Sheet, with multiple tabs along the bottom for each category.

Details within the roles

What I handle as an event manager, stage manager, show caller and event producer.

01 · Event manager

Owns the whole event

Venue, vendors, team and permits, held together by one plan from load-in to load-out.

  • Logistics and operations. Plan and manage venue operations, transportation, hospitality, credentialing and on-site execution for premier sporting events and more.
  • Fan experiences and festivals. Operated a large-scale fan experience, led a five-day city festival, and managed a watch party, including the city permit and broadcast licensing.
  • Corporate, brand and community events. Planned and executed business hubs, a women's golf tournament and multiple university homecoming events.
  • Teams and partners. Built in-house and outsourced teams across graphic design, labor and AV, and led staff, vendors, volunteers, city departments and community partners toward one plan.
  • Budgets. Worked in municipalities where budget constraints were very tight, from a couple thousand dollars for small events to massive events with budgets in the millions.
02 · Stage manager

Runs the stage

The schedule, the performers, the crew and the changeovers, so everything on stage happens when it should.

  • Running the stage. Managed stage schedules, performers, crew and changeovers, keeping every program on time across festivals, concerts, ceremonies and fan experiences.
  • Content and programming. Planned the content for the stage and screens, and programmed the stage ahead of the show so everything was ready for its cues.
  • Talent and teams. Kept performers, speakers and stage crews informed and ready, and delegated performer management to my events team when scale required it.
03 · Show caller

Calls the cues, live

On headset, calling the show cue by cue and keeping crew, content and talent in sync, including on broadcast.

  • Calling the show. Called live shows cue by cue on comms, keeping crew, content and talent in sync from the first cue to the last.
  • Broadcast coordination. Called ceremonies and watch parties in coordination with broadcast teams, including nationally broadcast programs.
  • Across formats. Show called ceremonies, concerts, festival stages, fireworks and driver introductions.
04 · Event producer

Shapes the event itself

The concept, the design of the space, the stage and the graphics, taken from idea to the room.

  • Stage graphics. Led the graphic design for stages with the graphics team, through client approval.
  • Event and stage design. Designed ceremony spaces and stages, along with the tents, furniture and staging for hospitality environments.
  • Gala production. Show calling and design of the space, stage and production for a charity gala.
Approach

How I work

I work backwards from load-in, planning and preparing every detail so my team walks in with everything they need. As a perfectionist, I leave no detail unaccounted for. I take pride in producing a great event, and in making sure my team has a great time while we do it.

“Alli is an incredible mentor and friend. I have learned a tremendous amount of event insight working alongside her. She does everything with precision and care and supports her team along the way.”

Documenting the low generator fuel.
Two green trailer-mounted generators set up on a lawn on a sunny morning
The aftermath of the second backup generator brought to save the day.

I was planning the 2023 Wake Forest Homecoming, a fully outdoor event. Two large generators powered the tent, with its hanging chandeliers, a DJ, microphones, TVs and more.

That morning I checked the fuel and radioed that we needed more. The lead operations manager came to look and said we would be fine. During the event, the generator ran out of fuel. I radioed him right away, and he brought over a generator from our team's other event down the street and hooked it up. We were without power for less than five minutes, though it felt like hours.

I spoke directly with my client and assured her I had found a solution, the generator from our other event, and that the event would continue shortly. I stayed calm and took full accountability.

The lesson. When my instincts and experience tell me something isn't right, I stand firm. I knew the fuel was too low, and I should have held my ground until it was filled.
